We have an exciting opportunity to join a well-established family run International manufacturer based in Ware as part of the HR Operations team. Our client offers a fantastic friendly working environment where employees feel valued and enjoy being at work.

Supporting the Head of People you will be responsible for maintaining strong relationships and updating data into the HR system actively addressing requests from both managers and employees. There is also the opportunity to assist or lead on specific HR projects, legislative changes, processes and procedures as well as supporting business partners in other HR initiatives.

Duties and Responsibilities will include:

HR Information Systems

  • Input of changes to employee records including new starters, leavers, absence and contract extensions
  • Respond to HR systems queries in a constructive and timely manner
  • Ensure accuracy of HR Information System data through regular data cleansing activities
  • Proactively identify opportunities for efficiency gains and process improvements as necessary to streamline HR activities and where possible resolve discrepancies
  • Assist with training of employees on the HR information system

HR Reports

  • Collate data from various sources, including the HR database or salary providers to produce regular reports, including headcount, turnover etc
  • Respond to requests for ad hoc report requests

Recruitment Administration

  • Actively support and advise hiring managers with recruitment activities, advising on advert wording, jobs board and agencies
  • Initial sifting of some roles
  • Directly source applicants and liaise with agencies
  • Set up and coordinate interviews and testing sessions
  • Offer and rejection administration
  • Good working knowledge of ATS (applicant tracking system)

Employee Administration

  • Complete all on-boarding requirements for new hires, reference requests, setting up new joiner files
  • Complete all leaver administration, holiday reconciliation, leaver letters and exit interviews
  • Prepare any HR letters as required by Head of People Operations
  • Maintain employee files manually and electronically, including archiving
  • Preparing consultancy contracts and maintaining consultant records
  • Provide induction support where necessary
  • Ensure all personal data are managed in line with GDPR

Payroll, Benefits and finance Administration

  • Worked with outsourced payroll services to ensure accuracy of payroll
  • Management of absences – sicknesses, holidays etc…
  • Process and Update payroll log with monthly changes
  • Liaison with payroll to resolve queries
  • Pension administration

Learning and Development

  • Record staff training
  • Gather feedback forms for training and report themes/escalate issues Head of People Operations

HR initiatives

  • Assist Head of People Operations with projects, changes and initiatives as required in order to positively add value to the business and its employees
  • To advise line managers and other employees on employment policies and procedures
  • Subject to team workloads, support with note taking and administration of employee relations issues and casework where appropriate
  • Work collaboratively as part of the HR Ops team to ensure smooth and effective HR support
  • Demonstrate a commitment to continual professional development, which would enable the jobholder to have practical knowledge and understanding of up-to-date HR issues i. employment law

Knowledge (Education & Related Experience):

  • Proven experience in an HR Assistant/Admin or Shared Services role.
  • Demonstrable planning and prioritising skills
  • Experience working in a fast-paced environment, multi-tasking and delivering to deadlines
  • Knowledge of HR systems (People HR preferred); including improving HR databases; experience of building reports and extracting information and intermediate level knowledge of Microsoft
  • Experience of researching information to ensure accurate advice is given
