Office Administrator


A great client of ours based just outside of Bishops Stortford are looking for an Office administrator to join their well established team.


Customer service:

  • Skills required for telephone, emails and meeting and greeting customers at the premises.

Order Processing:

  • Receive and process incoming orders, ensuring that all relevant information is accurately recorded into the system.

Dispatch of Orders:

  • Book deliveries with customers by telephone or email, liaise with the third-party transport providers to schedule deliveries.
  • Track shipments and provide updates to customers on ETA, check for proof of deliveries before clearing an order for the accounts team.
  • Process documentation and certificates before the transportation of goods, complying with each destination of goods.

Data Processing:

  • Enter data in relevant systems such as order details, customer information and transportation data.

Check and maintain inventory levels, updating records and initiating reordering when necessary.

Provide general administrative support, including managing office supplies, filing and scanning of documents.

Assist in the preparation of documents, presentations, and reports as needed.

Collaborate with other departments to support cross-functional projects and initiatives.

Report to the manager with suggestions to streamline procedures and implement necessary improvements.


Key Skills and Qualifications:

  • Excellent communication and interpersonal skills, with the ability to effectively engage with customers, colleagues and management.
  • Organization, Time Management and Flexibility: the individual will be handling multiple tasks. These skills are crucial to prioritise tasks, meet deadlines, and ensure efficient workflow.
  • Attention to Detail.
  • Problem-solving and Decision-making: coordination with transport providers, resolving delays or damages according to company procedures will often be required.
  • Computer literate: Experienced use of Office 365 is a must. Knowledge of spreadsheet applications for data entry as well as familiarity with CRM systems will be valued.
